STEM Booth or Table Checklist

As a STEM exhibitor, we know you’ve spent countless hours creating displays and interactive experiences for your space. If you are a veteran of outreach and fairs, like the Annual Craft Lake City DIY Festival, you’ve probably learned through trial and error what miscellaneous odds and ends you should have on hand to make you more comfortable or to deal with the unexpected. We too have learned a thing or two over the years about being prepared, and we thought we’d share!
What will be provided for you:
- 10’x10’ Space Outdoors: 10’x10’ of designated outdoor space to set up on the festival grounds. One table and two chairs will be provided. If you need additional tables and chairs, you may bring your own or rent them from CLC in advance. Outdoor STEM Exhibitors must bring a tent with 20lb weights for each leg to put in their outdoor space.
- 5’x10′ Space Indoors: Designated floor space that is 5 feet deep by 10 feet wide to set up inside the Google Fiber STEM Building. One table and two chairs will be provided. If you need additional tables and chairs, you may bring your own or rent them from CLC in advance. Indoor STEM Exhibitors must bring a “back wall” for their space, secured with 20lb weights on each side. If additional space is needed, please contact stem@craftlakecity.com.
- Electricity: STEM exhibitors who require electricity must let Mia, the STEM Coordinator, know by May 31. Providing availability, it will be provided, but you will need to bring extension cords and a power strip in order to access it.
What you should bring:
✓ Face Masks – All exhibitors will be REQUIRED to wear masks at the Annual Craft Lake City DIY Festival per covid-19 guidelines. We recommend bringing an extra mask with you. If this requirement changes, Craft Lake City will communicate that change to vendors.
✓ Moving dolly/hand truck – If you have heavy items, this is a must!
✓ Additional table covers or a drop cloth – This will make any tables in your area look nicer, and, if branded, lets visitors know who you are. If you are doing a messy craft having your own extra linens or disposable table covers will help keep the STEM Building clean. We won’t have additional linens for tables.
✓ Furniture and/or materials for walls – All indoor artisans are required to bring a “back wall” to visually separate them from their neighbor and make their space feel like a small store. This “back wall” can be made of fabric, wood, furniture or other materials. Side walls are not required but are highly encouraged. The back wall must be no taller than 10 feet high, and must span most of the back of your space (10 feet wide) without extending into your neighbor’s space. The wall must be secured with 20lb weights on each side.
✓ Tent frame for outdoors – All outdoor artisans are required to bring 10×10 tent for their exhibitor space. The tent must be secured with 20lb weights on each leg.
✓ Weights – For the safety of our attendees, we need to make sure your back wall is secure. Please be prepared with at least 4 weights, 20lb each, to secure your wall.
✓ Extra chairs and tables – Each STEM exhibitor will be provided with one table and two chairs. If your space requires it, and you did not rent additional tables from CLC, plan to bring your own extra tables and chairs. All furniture must fit within your designated indoor or outdoor space.
✓ Duct tape or gaffer tape – the MacGyver of tools
✓ Extension cords – Bring some lengthy extension cords and a power strip, as the source of your power may not be directly near your space.
✓ Sunscreen and a hat – If you plan on walking around the Festival grounds, be prepared!
✓ Plastic bins with snap on lids – These are great for consolidating and organizing tools, extra inventory, snacks, etc. Make sure they’re not so big that you can’t lift them when they’re full.
✓ A helper – Schedule a friend or family member to booth sit for you while you take bathroom and food breaks.
✓ Lighting – For indoors STEM exhibitors, lighting will be available all day in the buildings. However, if you are outdoors or if you would like to have special lighting in your space, we recommend using battery-powered lights for sustainability purposes. Test your lighting in advance, and be sure to recharge after use. Any setup requiring electricity must be requested and approved by May 31.
✓ A jacket – In case a cold front blows through. Our desert climate tends to get cold at night.
✓ Water and Snacks – For staying hydrated and energized. Please note that due to covid-19 guidelines, exhibitors will be required to follow all social distancing requirements, including those related to food and beverages. Exhibitors will be required to eat and drink in designated, socially-distanced areas only.
✓ Business cards, stickers, flyers, etc. – A customer take-away of some kind, or to check you out later.
✓ Cell phone and charger – Reliable wifi is not available at the venue. We recommend planning to use cellular data for any internet needs. If you are not using electricity in your space, plan to bring a battery-powered cell phone charger.
✓ Credit card reader and change– If selling items in the STEM building, you must offer a contactless form of payment at the DIY Festival. Be sure to bring a reader from a service such as Square, PayPal, etc. Additionally, you may bring small change for cash payments made with $20 bills from the ATM. If you run out of change, the Festival Finance Coordinator may be able to help you, but it’s easier if you don’t run out at all.
✓ Recyclable or biodegradable bags (optional) –Attendees will be asked to bring their own shopping bags as part of CLC’s commitment to sustainable initiatives. Vendors must avoid providing plastic bags for customers, but may consider recyclable paper bags or biodegradable/compostable bags made from non-GMO plant-based materials as alternatives if necessary.
