Development Coordinator

Department: Development & Fundraising
Craft Lake City is looking for an Development Coordinator to join our office team. This position will be responsible for identifying and securing funding for Craft Lake City’s many programs through grant writing, sponsorship asks and fundraising. The position will also oversee data collection and reporting for the organization, including producing Craft Lake City’s Annual Report. This is a full-time position with a weekly time commitment of 40 hours, which begins immediately upon hiring.
Craft Lake City’s Development Coordinator is community-minded, interested in local DIY culture, familiar with Craft Lake City and its programs and, above all, has a passion for writing. The Development Coordinator will become intimately familiar with Craft Lake City’s programming and continually innovate and improve upon our ability to craft a narrative that resonates with funders. The Development Coordinator will develop and track multiple funding projects simultaneously, requiring the ability to stay organized while managing competing priorities.
The Development Coordinator leads Craft Lake City’s Development team, including supervising the Sponsorship & Generosity Coordinator. The goals of the Development team are to establish and build relationships with any and all future and potential donors, sponsors, and community organizations, develop new streams of funding, and fulfill commitments to supporters, thereby supporting the mission of the organization and expanding Craft Lake City’s impact on the local community through events and educational programming.
The Development Coordinator will be an asset in paving the way for new and any relevant opportunities to assist in the growth of the organization through the expansion and application of the organization’s mission statement.
Responsibilities:
- Identifying grant opportunities, writing grants, soliciting sponsorships, meeting with potential donors and managing follow-up
- Clarifying messaging for Craft Lake City programs
- Support Executive Director with creating and managing program budgets for grant submissions
- Ensure accurate financial reporting of grantee awards in Quickbooks
- Collecting and managing data and statistics that support Craft Lake City’s funding requests
- Ensure Craft Lake City programming meets funding requirements as outlined in contracts, funding agreements, and award letters
- Creating grants checklist to ensure staff are meeting grant requirements for every program
- Manage Sponsorship & Generosity Coordinator position
- Cultivating relationships with funders for the annual DIY Festival and other Craft Lake City events
- Developing creative new ways to deliver value to partners in exchange for financial support
- Identifying new sources of funding via creative outreach
- Monitoring grant performance and fulfillment
- Tracking funding and related commitments over time
- Generating content for Craft Lake City’s annual report
- Review marketing materials to ensure that funders are recognized appropriately
- Sending donor acknowledgements and thank you cards
- Execute fundraising events, i.e., GivingTuesday, Annual Giving Campaign.
- Compile and present yearly reports based on membership surveys, member numbers, programming & event success, etc., to be presented to Craft Lake City’s Board and other affiliated organization committees and partners.
- Serve as Craft Lake City Advisory Board Finance Committee Liaison

The Community Workshop Assistant will be responsible for the on-site coordination of both hands-on or virtual craft workshops in communities throughout Utah. Craft Lake City’s Community Workshop Assistant is interested in the local maker movement, is familiar with Craft Lake City’s programs and mission, and has a passion for arts education and event management. The Community Workshop Assistant will serve as a public ambassador for Craft Lake City, and will work to ensure a positive, professional and educational experience for workshop instructors, attendees and venue partners.
Responsibilities:
-Serving as a representative and ambassador of Craft Lake City at various community craft workshops during the year
-Fostering positive relationships with workshop instructors and venue partners
-Setting up and breaking down the workshop area in each venue in collaboration with venue contact and instructor
-Assisting workshop instructor with supply load-in, set-up and load-out
-Verifying workshop ticket holders upon arrival (in-person workshops)
-Selling tickets to waitlist participants as necessary
-Providing presentations to attendees about Craft Lake City and upcoming programs
-Maintaining a clean and organized workshop area during the program
-Supporting attendees and instructors during each workshop as needed
-Posting to social media during and after the workshop
-Coordinating attendee surveys at the end of each workshop
-Returning workshop supplies to Craft Lake City headquarters
-Providing photos from the workshop to Craft Lake City
-Adding workshop responses to online form
-Completing post-event workshop assistant online form
-Assisting with post-event reporting as needed
Qualifications:
-Prior experience with event management
-Prior experience or willingness to learn and master online meeting platforms (Google Meet, Zoom, etc.)
-Experience in arts programming preferred
-Exceptional organizational, stress management and customer service skills
-Ability to adapt and be flexible and collaborative in an event-driven, nonprofit environment
-Ability to access email each day and respond in a timely manner
-Proficient with Google Drive, Docs, Sheets, etc.
Requirements:
-Must attend required meetings and production training
-Must be able to commit to work the public hours of the workshops with additional setup and teardown specific to each program
-Must have your own laptop and vehicle and willingness to use for workshop-related tasks
-Must be comfortable troubleshooting technical issues, while simultaneously addressing attendees.

Reports to Artisans & Programs Manager
Craft Lake City is looking for a Programs Administrator to join our office team. This position will support the Craft Lake City Artisan & Programs Manager, Executive Director and other key staff members with the daily operations of the organization and its programs. The main focuses of the Programs Administrator include but are not limited to managing year-round craft workshops, supporting artisans for LetterWest, the DIY Festival and Holiday Market, and curating outdoor exhibitions. The applicant should have an interest in the local maker movement, familiarity with Craft Lake City’s programs and mission, and a desire to gain experience in nonprofit arts administration and event support.
This is a full-time, contract position with a weekly time commitment of 40 hours, which begins immediately upon hiring. Weekly time commitments will increase in several months in the year leading up various Craft Lake City events including LetterWest, the DIY Festival and Holiday Market. The Programs Administrator is required to be on-site for the duration of LetterWest, the DIY Festival and Holiday Market, so working long hours in extreme heat (DIY Fest) and cold (Holiday Market, LetterWest) are factors you should consider and keep in mind when applying for this position.
Responsibilities
Craft Workshops:
- Curate dozens of community-based craft workshops per year
- Recruit, hire, train and pay artisan instructors
- Recruit, train, manage, schedule and pay a team of workshop assistants
- Periodically attend craft workshops as a sub or for staff training
- Manage supplies for workshops from ordering to packaging to distribution
- Monitor ticket sales and promotion
- Generate reports identifying outcomes of each workshop
Events:
DIY Festival & Holiday Market:
- Support Artisan and Programs Manager with artisan outreach and coordination from applications to festival set up
- Serve as a public representative of Craft Lake City at virtual and in-person events
- Coordinate DIY Stations
- Train, support and manage zone managers at events
- Attend the DIY Festival (Aug 9-11, 2024) and Holiday Market (December 6-7, 2024) as a Craft Lake City team member, assisting as needed with set up, on-site coordination and breakdown
LetterWest:
- Support event workshops from set up to tear down
- Assist in workshop planning, supply management from ordering to packing to distribution
- Attend LetterWest (March 14-15, 2025) as a Craft Lake City team member, assisting as needed with set up, on-site coordination and breakdown
Outdoor Exhibitions:
- Support the Artisans and Programs manager in curating and executing outdoor exhibitions, Celebration of the Hand and Local Voices.
- Collaborate with artists, sponsors, partners and representatives from local organizations
- Oversee the production and installation process as needed
- Support in coordinating exhibition virtual discussions including booking guest speakers, preparing slideshows and promoting to the community
Other Responsibilities:
- Support Craft Lake City management and staff with a variety of daily tasks, including data entry, correspondence, and office and file organization
- Serve as a public representative of Craft Lake City at select events, both virtual and in-person, assisting with event set up and breakdown as needed
- Support Craft Lake City team with artisan outreach as directed, including conducting research, attending events and contacting potential participants for programs and events
- Running tech for Zoom sessions / virtual programming
- Support Craft Lake City Teamsters in other departments on a case-by-case basis as needed
Qualifications

Reports to the Executive Director
Craft Lake City is looking for an Executive Assistant to support our Executive Director. The Craft Lake City Executive Assistant is passionate about elevating Utah’s creative community. This self-motivated individual excels at managing details, preparing financial documents, creating spreadsheets, reports, letters, invoices and other supportive documents. Individuals should desire to join a committed team to achieve Craft Lake City’s nonprofit mission.
This is a year-round, full-time, contract position with a weekly time commitment 40 hours per week, which begins immediately upon hiring. Weekly time commitments will increase in July and August leading up to the Annual Craft Lake City DIY Festival and October and November leading up to the Annual Holiday Market.
Responsibilities:
- Assist Executive Director
- Basic bookkeeping
- Perform a variety of administrative support (screening phone calls & emails, sending thank-you cards, filing/organizing documents, taking notes, assisting with payroll, etc.)
- Sponsorship outreach on behalf of the Executive Director
- Proposal creation
- Email and Communication Filtering: Regularly check and prioritize incoming communications to ensure the ED addresses only the most critical items
- Calendar Management: Maintain a clear and organized calendar, balancing work and personal commitments
- Meeting Coordination: Schedule and organize meetings, ensuring they are necessary and productive
- Team Communication: Act as a liaison between the ED and other staff members or departments
- Networking Coordination: Manage contacts and networking opportunities, aligning them with business priorities
- Google Drive management: Ensure ED’s Google Drive stays organized and free of clutter
- Task Prioritization: Regularly assess tasks and priorities to align with the ED’s strategic goals

Craft Lake City’s Partnership & Generosity Coordinator will be responsible for soliciting, securing, and managing partnerships , fundraisers, and individual donations for the organization. Seasonal Positions
Join our paid team on a temporary basis and help us produce our exceptional Annual events like the DIY Festival and Holiday Market. It is a great way to earn some extra funds while contributing to something greater in your community!
Entertainment Coordinator
This is a seasonal, part-time, contract position with a general weekly time commitment of up to 10 hours. Weekly time commitments increase as needed leading up to the following events: The Annual Craft Lake City DIY Festival (August 9-11, 20240, The Annual Craft Lake City Holiday Market (December 6, 7 2024) and The Annual Craft Lake City LetterWest (March 14,15, 2025) The Entertainment Coordinator is required to be onsite for the duration of these three events so working long hours on ones feet in potentially extreme heat and cold are factors to consider and keep in mind when applying for this position.
Responsibilities:
- Work with the CLC Team to coordinate and recruit performers/buskers for The Annual Craft Lake City DIY Festival and The Annual Craft Lake City Holiday Market
- Work with the CLC Team as needed to coordinate speakers, instructors and presenters for The Annual Craft Lake City LetterWest
- On-site managing of entertainment logistics during The Annual Craft Lake City DIY Festival, The Annual Craft Lake City Holiday Market and The Annual Craft Lake City LetterWest
- Ensure that the scheduled lineup is confirmed for events including last minute cancellations and additions
- Ensure performers are checked in and checked out on time during events
- Ensure the entertainment schedule for all stages and performing areas is timely and accurate and listed correctly across all digital and print platforms during events
- Manage Stage Managers that oversee two independent stages during the Craft Lake City DIY Fest
- Ensure the performers arrive onsite and are prepared to load on and off stage
- Handle the contracts and tax forms of the bands before the event
- Pay out the talent according to the set budget after their performance at event
- Support the CLC Team in marketing and recruiting the “Call for Performers” for all events
- Work with the CLC Team to notify accepted and rejected DIY Fest performers
- Work with the CLC Team to market the finalized line up by coordinating promo playlists, band bios and other miscellaneous tasks
Qualifications:
- Must have previous event experience
- Previous experience working in extreme temperatures and/or inclement weather
- Exceptional organizational skills and self-discipline
- Desire to be involved in producing a creative experience for exhibitors and patrons alike
- Ability to accept responsibility when mistakes are made and work with the team toward a solution
